REFUND & CANCELLATION POLICY

This Refund and Cancellation Policy ("Policy") governs all memberships, training courses, events, drives, workshops, and other services provided by Dubai Offroaders ("Company," "we," "us," or "our"). By registering for, purchasing, or participating in any Dubai Offroaders service, you acknowledge and agree to be bound by this Policy.

1. GENERAL POLICY

All purchases are subject to the terms outlined herein. Due to the nature of event planning, instructor scheduling, venue reservations, and operational commitments, refunds and cancellations are subject to the conditions stated below.

Dubai Offroaders reserves the right to amend this Policy at any time without prior notice. The version in effect on the date of purchase shall apply to the transaction.

2. MEMBERSHIP FEES

2.1 Non-Refundable Memberships

Membership fees are non-refundable once membership has been activated, regardless of usage, participation level, relocation, change in personal circumstances, vehicle suitability, or inability to attend events.

2.2 Membership Cancellation

Members may cancel renewal of their membership at any time prior to the renewal date. No prorated refunds shall be issued for any unused portion of a membership term.

2.3 Membership Suspension

Dubai Offroaders may suspend or terminate a membership for violations of safety rules, community guidelines, applicable laws, or conduct deemed detrimental to the organization. In such cases, no refund shall be due.

3. TRAINING COURSES

3.1 Participant Cancellation

For instructor-led courses and training programs:

  • More than 14 calendar days before the scheduled course date: Eligible for a full refund less any applicable payment processing fees.
  • Between 7 and 14 calendar days before the scheduled course date: Eligible for a fifty percent (50%) refund.
  • Less than 7 calendar days before the scheduled course date: No refund shall be issued.

3.2 Rescheduling Requests

A participant may request a one-time transfer to another available course date, subject to availability and approval by Dubai Offroaders. Rescheduling requests must be submitted no less than seven (7) calendar days prior to the scheduled course date. Dubai Offroaders reserves the right to charge an administrative fee for approved rescheduling requests.

3.3 No-Shows

Participants who fail to attend a scheduled course without prior written notice shall be considered a "No-Show." No refund, credit, or rescheduling entitlement shall apply.

4. EVENTS AND DRIVES

Unless otherwise stated for a specific event:

  • Cancellations more than seven (7) calendar days before the event may receive a full refund or credit.
  • Cancellations within seven (7) calendar days of the event are non-refundable.
  • No-Shows are non-refundable.

5. WEATHER, SAFETY, AND OPERATIONAL CANCELLATIONS

Dubai Offroaders prioritizes participant safety at all times. The Company reserves the right to postpone, reschedule, modify, or cancel any course, drive, event, or activity due to:

  • Adverse weather conditions;
  • Safety concerns;
  • Government directives or restrictions;
  • Force majeure events;
  • Instructor unavailability;
  • Insufficient registrations; or
  • Any circumstance beyond the reasonable control of Dubai Offroaders.

Where Dubai Offroaders cancels an activity, participants shall be offered either:

(a) a transfer to a future equivalent activity; or

(b) a credit voucher valid for twelve (12) months.

Cash refunds shall be issued only where required by applicable law or at the sole discretion of Dubai Offroaders.

6. VEHICLE ELIGIBILITY AND MECHANICAL ISSUES

Participants are solely responsible for ensuring that their vehicle meets all published requirements for participation. No refund shall be issued where a participant is unable to participate due to:

  • Mechanical failure;
  • Inadequate vehicle preparation;
  • Failure to meet vehicle requirements;
  • Expired registration, insurance, or driving license; or
  • Failure to bring required equipment.

7. MEDICAL CONDITIONS AND PERSONAL CIRCUMSTANCES

Refund requests based on illness, injury, family emergencies, travel disruptions, work commitments, or other personal circumstances may be considered on a case-by-case basis but are not guaranteed. Supporting documentation may be requested.

8. PROCESSING OF REFUNDS

Approved refunds shall be processed using the original payment method whenever reasonably possible. Refund processing times may vary depending on banking institutions and payment processors but generally require between seven (7) and thirty (30) business days. Payment gateway fees, bank charges, currency conversion fees, and administrative costs may be deducted where legally permissible.

9. CHARGEBACKS AND PAYMENT DISPUTES

Participants agree to contact Dubai Offroaders directly to resolve any billing concerns before initiating a chargeback or payment dispute. Fraudulent or unjustified chargebacks may result in suspension of membership privileges, denial of future participation, and recovery of associated costs.

10. LIMITATION OF LIABILITY

To the fullest extent permitted under applicable law, Dubai Offroaders shall not be liable for indirect, incidental, consequential, special, or punitive damages arising from cancellations, postponements, rescheduling, or refund decisions made in accordance with this Policy.

11. GOVERNING LAW

This Policy shall be governed by and construed in accordance with the laws of the United Arab Emirates and the applicable laws and regulations of the Emirate of Dubai. Any dispute arising out of or relating to this Policy shall be subject to the exclusive jurisdiction of the competent courts of Dubai, United Arab Emirates.
